ホームページを開設する前に決めないといけないこと
さて、今回からは、いよいよホームページの内容について...と、
言いたいところだが、そう簡単にはホームページの内容にはたどり
着けない。ホームページを作る前にやらなくてはいけないことが、
まだまだあるのだ。今回は、ホームページの内容を決める前の準備
について考えてみよう。
新しくお店を開いて、案内のビラを作ることを考えてもらいたい。
当然ながら、住所や電話番号など問い合わせ先を記述するはずだ。
そして、電話に対してどんな受け答えをするかを想定しているはず
である。ところが、ホームページになると、何故かホスティング・
サーバをどこの業者にすればいいのかとか、ホームページを作るソ
フトはどんなものがいいのかなど、そんな質問からする人が多い。
店舗案内のビラで言えば、いきなり、印刷はどこに頼めばいいのか
とか、紙はどんな素材がいいのかとか言っているようなものである。
ホームページも、結局は、お客からの問い合わせを受けたり、注
文を受けるのだから、まずは、それをどうやってやるのかを決めな
ければならない。具体的にはメールでのやりとりになることが多い
ので、定期的なメールのチェックはだれがやるのかとか、問い合わ
せの回答は、どのようにするのかを大まかにでも決めておかないと
いけない。
電話やFAX、郵便物と違って、電子メールの恐ろしいことは、メー
ルを意識してチェックしないと、来ているかどうか分からないこと
にある。さらに、特定の人にしかメールが確認できないとなると、
担当者が休んだときにどうするのかとか、出張中はどうするのか、
さらに、土日やゴールデン・ウィーク中、年末年始をどうするのか
を考えておかないと、問い合わせメールの対応が遅れ、「あのネッ
トショップは、ぜんぜん対応が遅い」という悪評が広まってしまう
ことになる。
お客の対応ということでまとめると、下記のようなことを決めて
おかないといけない。
・問い合わせ方法
メール、電話、FAX、来店等、どれを使うのかを明確にする。
・窓口担当者
誰が対応するのか？ 特にメールは定期的にチェックするこ
とをやらないとどんどん見ていないメールが溜まっていくこ
とになる。
・定休日や、年末年始、ゴールデンウィークの対応
電話は留守電にしておけばいいが、メールは相手に定休日と
いったことが伝わらないので、ホームページのメールアドレ
スを記載する部分に『定休日、年末年始は対応が遅れます』
といった表示をしたり、使っているメールツールや、プロバ
イダーによっては、自動応答機能があるので、それを利用し
て、『メールを受け付けました。回答は次営業日になります
がご了承ください』といったメールを返信しておくといった
方法がある。
・対応後の記録
メールに限らないが、誰がいつ何を対応したかを記録してお
く。
特にメールの場合は、複数の人が担当していると回答したの
かどうか分からないので記録を取って、誰が見ても分かるよ
うにしておく。最低でも、メールの回答は、関係者にも転送
しておくなどの工夫が必要。
今回は、顧客対応の方法について考えてみたが、実は、このよう
にホームページを開設するということは、店舗を開くことと同じな
ので、後ろに見えない事務作業がいろいろあるのだ。ちょっと考え
れば、気がつくことが多いので、ホームぺージを開設するときには、
『店舗』であることを思い出して、お客対応に抜けがないか確認し
て欲しい。
